Housing & Residential Services held the second Strategic Planning Conference on January 29-31. Forty-five H&RS staff members along with guests from several on-campus departments conducted a “mid-point check-in” on the Strategic Plan we crafted in 1998.

The key purposes of the Strategic Planning Conference were to review accomplishments over the past five years, to hear from students about how they view us, to receive a “current state analysis” from on- and off-campus experts to prepare us for the next stages of planning, and to address two key Vision Statements: Valued Staff Members and World-Class Facilities.

After assessing our accomplishments on the first day, we began the second day listening to a current state analysis from Willie Brown, who explained our Capital Plan. George Pernsteiner, Vice Chancellor for Administrative Services, Michael Young, Vice Chancellor for Student Affairs, and Corby Gage, Consultant for the Coastal Housing Partnership also provided necessary background information.

A key focus of the conference was to assess progress toward the “Valued Staff Members” Vision Statement. Conference participants brainstormed ideas for how to address staff concerns. By the end of the day, Action Teams were formed to empower staff to address concerns in an on-going basis.

On the third day, Willie Brown and the Unit Directors met to plan ways for greater collaboration and communication among the units, as we add more facilities and staff to our department. As H&RS focuses on developing world-class facilities, increased communication will enable us to stay connected to our Vision statements, mission and values.

Focus on “Valuing Staff Members”— The Creation of Action Teams  
By drawing upon the experience and opinions of all of the staff members at the conference, we focused together on a key Vision Statement: Valued Staff Members. Through the creation of Action Teams, we put a system for accountability into place to make sure that staff remain valued during this time of growth and change.

Four Action Teams were chartered to begin working on staff concerns that were listed at the conference. Membership for these Action Teams was chosen through Unit selection processes. Some Units took volunteers and nominations, others required a vote because of the large amount of interest.

Each team met regularly throughout winter and spring quarters to fine-tune their charter and begin to gather information. The teams formally or informally surveyed H&RS staff members to find out which issues were most important to staff. Their work will continue throughout Fall quarter of 2003, after which their results will be publicized to all of H&RS.

 
   
Communication – Input  

Purpose/Charter: To develop communication systems for Housing & Residential Services to receive input/feedback from our staff members.

Communication – Output  

Purpose/Charter: To enhance communication throughout H&RS by developing a documented system where key information is shared on a regular basis in a way that responds to the varied needs and circumstances of all staff members.

Financial Advisement  

Purpose/Charter: To develop a financial education services and referrals program for staff.

Work/Life Issues  

Purpose/Charter: To examine all aspects of work/life issues by researching what other companies/agencies do, and then surveying staff. Provide information and recommendations as to which work/life issues to address to Senior Management Team for consideration.
