Making Arrangements

Please contact us as soon as you begin planning your event or conference and we will personally assist you.

Advance Notice

Please contact us a soon as possible when you have an event date you would like to schedule. We can take events up to 1 year out and no later than 10 days prior to guarantee availability.

Vegetarian Meals

Three full working days prior to the event, an anticipated vegetarian guest count is required with your guarantee (vegetarian meals charged at same price as selected menu).

Event Set-up (rentals may be required)

Service Ware & Utensils

High quality environmentally friendly disposables are provided at no charge. China, glassware and flatware are available at an additional cost.

Beverage & Bar Service

Bar staff and bar set up is provided when you offer, wine, beer or liquor. A two hour minimum is required with 1 bartender for every 50 guests. Alcoholic beverages must be provided by the client.

Off Campus Events

A charge of $9.00 per mile, per service vehicle, will be added for off-site events.  Arrangements for off campus sites made by client.


A guaranteed guest count five full working days prior to an event is required. This allows adequate staffing and food quantities. Your final bill will reflect your guaranteed count plus additional guests.

Order Minimum

A $500 minimum is required for all special events.

Payment (a final bill will be provided)

If a campus account is designated to be charged please provide account number during planning. Campus charges are processed on Financial Journal forms. Events may also be paid by check to “UC Regents” and sent to Special Events Catering, Carrillo Dining Commons (mail code: 6130). Payment expected within thirty days.

Cancellation Policy

Events, menu choices or services canceled less than three full working days prior to an event will result in a 50% charge. Events canceled with less than 24 hours notice will be charged in full.


Keeping with University Policies, employees may not accept gratuities.
